Flexible Approval Workflows

My Hours allows each user to submit timesheets to supervisors or project managers. All submissions can be automatically emailed, so nothing gets overlooked or forgotten.

Adjust the workflow for each project or user and disable approvals when they’re not needed. 

Create an approval hierarchy that specifies exactly who can approve what:

  • Administrators: Can approve any user’s entries.
  • Project Managers: Can approve entries for their assigned projects.
  • Team Managers: Can approve entries for their team members.

Supervisors and managers get access to the Approvals dashboard for immediate oversight into total vs. target hours. 

The dashboard also highlights what percentage of time is billable vs. non-billable to quickly understand how much time is being spent on revenue-generating work.

One-Click Timesheet Approvals and Rejections

Reject incomplete or incorrect timelogs in one click. Additional features make the process more efficient:

  • Add an optional message if more information about the rejection is required.
  • Timesheets can have all timelogs approved or rejected in bulk.
  • Rejections can be made for the entire timesheet or per time log, so the employee knows exactly what to adjust. Once amended, the timesheet simply gets submitted for second approval.

While users can edit their own timelogs, you can also customize who else can and cannot edit the timelogs of other users. For example, you might give Administrators this ability but restrict it for Managers.

This is useful if a user can't access their own timesheet and needs someone else to make adjustments for them.

Helpful Reminders Keep Everything on Schedule

Set up automatic email and mobile app reminders so employees log the required number of hours:

  • Reminders are customizable and are sent daily or weekly, according to target hours.
  • Supervisors receive a weekly overview of users who have not logged time or submitted their timesheets. Each entry has a link to email the user, which prompts them to complete their timesheet.
  • Supervisors also get alerts about pending timesheets, keeping approvals on schedule. 

Example: If target hours are set at eight hours per day, the system will check that each day has eight hours logged and send daily alerts if there are insufficient hours. ​

Controls for Full Compliance

Custom Fields and Tags

When greater compliance, like DCAA rules, must be followed, use custom fields and tags to add more detail to time logs:

  • Custom fields let you add numerical data like job or billing codes.
  • Tags allow you to mark timelogs as direct or indirect labor.
  • The description field allows you to add more information, especially when timelogs have been adjusted for correctness.

These details can be checked during the timesheet approval process to ensure each timelog meets compliance standards.

Approvals on the Go

Individual timelogs or entire timesheets can be instantly approved or rejected via the My Hours iOS and Android apps and the Microsoft Teams app.
